The short version: SchoolSync reads your school's emails to surface the information you need. We do not sell your data, share it with advertisers, or store email content beyond what's needed to generate your daily briefing.

1. Who we are

SchoolSync is operated by AWM Ventures Ltd, a company registered in England and Wales. Our registered address is available on request. You can contact us at hello@schoolsync.uk.

2. What data we collect

We collect the following information when you use SchoolSync:

Account information: your name, email address, and password (stored securely and never in plain text).
School email access: when you connect a school email address, we access emails from that address to identify school communications. We do not store the full content of emails — only the structured information we extract (dates, events, reminders).
Children's school information: school name, class, and any relevant schedule information extracted from school communications. We do not collect children's names unless you choose to add them.
Usage data: how you interact with the app (features used, session length) to help us improve the product. This is anonymised.
Device information: device type, operating system version, and app version for technical support purposes.

3. How we use your data

We use your data solely to provide the SchoolSync service:

To generate your Daily Briefing and Tonight's Prep summaries
To populate your family calendar with school events
To send you notifications about upcoming events or reminders
To share information with a co-parent if you have enabled co-parenting features
To improve and fix the app based on anonymised usage patterns

We do not use your data for advertising, profiling, or any purpose beyond delivering the service to you.

4. Legal basis for processing (UK GDPR)

We process your personal data on the following legal bases:

Contract: processing necessary to provide the SchoolSync service you have signed up for.
Legitimate interests: anonymised analytics to improve the product, where this does not override your rights.
Consent: for optional features such as marketing emails. You can withdraw consent at any time.

5. Data sharing

We do not sell your data. We share data only with the following trusted service providers, who process it on our behalf under strict data processing agreements:

Supabase – database and authentication (servers in the EU)
OpenAI / Anthropic – AI processing to extract structured information from school emails. Only the relevant email content is sent; your account information is not included.
Apple – for iOS app distribution and push notifications

6. Data retention

We retain your account data for as long as your account is active. If you delete your account, we delete your personal data within 30 days, except where we are required to retain it by law.

Extracted school event data (dates, reminders) is retained for up to 12 months to support calendar history. Raw email content is not retained after processing.

7. Your rights

Under UK GDPR, you have the right to:

Access the personal data we hold about you
Correct inaccurate data
Request deletion of your data
Object to or restrict processing
Data portability — receive your data in a machine-readable format
Withdraw consent at any time (where processing is based on consent)

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

8. Children's privacy

SchoolSync is designed for parents and carers, not for use by children. We do not knowingly collect personal data from children under 13. The school information we process relates to children's school schedules only, provided by the parent or carer who holds the school email account.

9. Security

We take security seriously. All data is encrypted in transit (TLS) and at rest. Access to production systems is restricted to authorised team members only. We use industry-standard authentication and conduct regular security reviews.

10. Cookies

Our website (schoolsync.uk) uses only essential cookies required for the site to function. We do not use advertising or tracking cookies. Our app does not use cookies.

11. Changes to this policy

We may update this policy as the product evolves. If we make significant changes, we will notify you by email or in-app notification. The date at the top of this page shows when it was last updated.
